Position Summary : *



Under the supervision of Court Administrator, provide clerical support to the judges and staff. Perform court recording, data entry, prepare documents and Court orders, maintain Court files, process Court orders, assist clients, answer and route telephone calls, maintain financial records, and perform a variety of related support.


All Tribal Court staff must adhere to mandated reporting laws.



  • Essential Duties and Responsibilities : *

  • Open civil, criminal, juvenile, probate, and adoption, minor in need of care, elder in need of care cases, and marriage license, intergovernmental cases.


Record Court proceedings, and develop orders from proceedings for judge’s signature.



  • Review daily arraignment list provided by the Isabella County Jail, coordinate hearings for inmates with and for jail and court personnel.

  • Copy original documents, stamp True Copy , seal, and date stamp within the boundaries of the court.

  • Assist with front desk servicing of the court clientele.

  • Coordinating inmate hearings on the weekly docket via creating transport orders, or zoom hearings.

  • Work with MDOC, Federal Prisons to coordinate for hearings where Writ’s are required to be coordinated and prepared to ensure court processes.

  • Complete data entry changes of address changes, name change forms, and the processing of all incoming and outgoing clerk mail

  • History searches for Human Resources, Gaming Commission, ACFS, Tribal Police

  • Process traffic cases.

  • Enter information on cases in the computer, including recording Plaintiff, Defendant, addresses, attorneys and other case information.

  • Demonstrated technology abilities to conduct virtual, hybrid and in-person hearings using court software, computer equipment and recording equipment.

  • Process Court Orders, Warrants, Jail Commitments, Estates, and Guardianships etc.

  • Perform task specific to LEIN system, such as entering warrants and protected persons information.

  • Prepare file folders and enter documents.

  • Schedule Court Docket - all cases, Judges, Magistrate, and court rooms.

  • Perform tasks specific to the type of case, such as entering arraignment date, bond amount and charge codes on matters.

  • Respond to inquiries; provide information on court procedures; research case activity for attorneys and others.

  • Accept and process all legal documents, collect appropriate fees and file papers after recording.

  • Answer the telephone and provide information to law enforcement agencies, probation officers, attorneys and court patrons regarding case status and case disposition.

  • Distribute and process all incoming mail.

  • Set all hearings; ensure proof of services is filed and prepare and send notices.

  • Receive, disburse and maintain records of money paid into court.

  • Order office equipment and supplies and advise the Judge in the selection and purchasing of office equipment.

  • Pull files for hearings and ensure that all documentation is present and the file is ready for action by the Judge.

  • Record court proceedings, maintain and understand the FTR Gold system, as well as to run the court proceedings and processes in the court room.

  • Close files by ensuring that processing is completed as required by the type of case; ensure judgment fee is paid, judgment is entered, or processing dismissals and judgments on civil matters or processing actions on criminal matters is complete.

  • Make certified copies as necessary.

  • Perform a variety of support functions for the Judge and staff including copying, faxing, typing, preparing weekly calendar, pulling files that are ready to be expunged and related tasks.

  • Provide excellent customer service for all internal and external customers of the operations at all times. Provide solutions for customer concerns and continually focus on customer service as our top priority.

  • Must maintain strict confidentiality and present a positive, professional demeanor and image at all times.

  • Contacts / Purpose of Contacts : *

  • Contact with employees, Law Enforcement, Tribal Social Services, Victim’s Advocate, Prosecutor, Probation Officers, Attorneys, the general public and other court staff.

  • Minimum Qualifications : *

  • High School Diploma or GED.

  • At least twenty-one years of age.

  • Two years record management and administration experience

  • Legal and business experience or education in business, or criminal / legal justice.

  • Notary Public License or ability to obtain one.

  • Experience with maintaining financial records and other booking records.

  • Must not have been convicted of a felony.

  • Must not have been convicted of a misdemeanor within the past five years.

  • Must be able to pass intensive background checks bi-yearly to meet the employment eligibility requirements as they pertain to the position.

  • Desired Qualifications : *

  • Associate’s Degree preferred.

  • License, Certification, or Special Requirements : *

  • Ability to become proficient in the Court recording system (FTR Gold) within six months.

  • Ability to become a Notary Public and bonded within probationary period.

  • Ability to obtain HIPAA training and certification within probationary period.

  • Ability to obtain LEIN training and certification within six months.

  • Ability to obtain certification as an Electronic Court recorder.

  • Native American preference shall apply to all positions.

  • Knowledge, Skills, and Abilities : *

  • Knowledge of business English, proper spelling, grammar, punctuation, and basic arithmetic.

  • Knowledge of basic office functions (filing, properly answering phones), procedures, and policies.

  • Skill in operating various word-processing, spreadsheets and database software programs in a Windows environment.

  • Skill in treating internal and external customers with tact, courtesy, and respect.

  • Skill in operating digital / electronic court reporting software and technology.

  • Skill in operating business computers and office machines, including in a Windows environment, specifically Word, Excel, Access, and PowerPoint.

  • Ability to maintain confidentiality.

  • Ability to use court room audio system.

  • Ability to work under timelines, stress, and keep composure.

  • Ability to communicate effectively both verbally and in writing.

  • Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels.

  • Ability to deal effectively with people in potential dangerous situations, and / or stressful situations and under pressure.

  • Ability to speak clearly and persuasively in positive or negative situations.

  • Ability to create, compose, and edit written materials.

  • Ability to maintain accurate files.

  • Ability to handle multiple tasks and meet deadlines.


  • Physical Demands : *

  • Frequent use of hands, wrists, fingers associated with computer equipment.
