JOB SUMMARY



The Manager is accountable for the operations of the Central Service and Materials Management departments. Responsible for overall management of the distribution process for supplies and equipment; researching equipment and supply problems; performing other duties as assigned by the Director of the department. Responsible for streamlining the distribution process in order to control supply costs. Responsible for strategic planning for both departments in order to maximize utilization of resources and plan for capital and personnel needs.



MAJOR JOB RESPONSIBILITIES



• Plans for proper utilization of personnel. Promotes good staffing practices by maximizing the utilization of human resource; forecasts and anticipates the needs of the department. Maintains staffing at an appropriate level and effectively employs part- time and relief associates.



• Assesses activities of team members. Observes activities of all personnel, providing direction and assistance as needed. Directs cross training to increase departmental efficiency and to promote associate development.



• Conducts in-services to provide associates with opportunity for growth. Presents updated technical information and/or changes in policy or procedures.



• Communicates with associates to encourage a ‘team spirit”. Conducts monthly departmental meetings encouraging active participation of staff, recognizing talents as well as areas needing improvement, are held for all shifts, and department minutes and memos are clearly posted.



• Encourages associate participation in development programs. Provides opportunities for continuing education.



• Assists in the Materials Director in preparation of budget with concern for appropriate utilization of resources. Prepares budget figures, following procedure manual, ensures available funds to efficiently operate the department.



• Helps plan, and develops departmental goals and objectives. Establishes an annual departmental plan with associate objectives based on the overall goals of the department and corporation.



• Adheres to budget goals with concern for appropriate utilization of resources. Meets budgeted contribution margin for the year.



• Maintains accuracy of records, thereby, communicating effectively with other team members. Random check of equipment requests, supply carts, orders and charge sheets will be performed as necessary.



• Prepares reports. Prepares management reports and statistics as requested by Director.



• Evaluates associates performance and counsels when appropriate. Evaluates performance of staff within one month of evaluation date. Discusses problems and assists in goals setting and attainment. Completes appropriate paperwork and forwards to Director for approval. Encourages individual growth. Gives positive feedback to staff members when their performance and/or special efforts are deserving.



• Schedules associates. Oversees hours and scheduled shifts. Maintains adequate staffing levels with concern for appropriate utilization of resources.



• Assures appropriate orientation. Oversees, gives direction, instructs, and observes each associate. Monitors performance to ensure the smooth function/operation of the department.



• Assures a plan for maintaining overall inventory control. Effectively maintains overall control of inventory and equipment processing and distribution.



• Act as a liaison between Central Service/General Stores Departments. Assures internal customer needs are met. Rounds and interviews are conducted.



• Coordinates services with vendors for supply delivery and utilization. Ensures delivery and receipt of supplies on a daily basis is completed in an appropriate time frame, keeping with hospital needs and maintaining patient care.



• Conducts performance improvement activities. Complies with infection control and performance improvement programs to assure compliance with all regulatory standards.



• Assures follow up recommendations are completed. Monitors follow up, making certain recommended action is taken and re-audits are submitted on time.



• Assures understanding of the quality assurance program in order to increase participation by departments. Results of studies are reflected in departmental meetings to share knowledge and discuss problems and needs.



• Provides safe working environment. Provides a safe working environment for associates; promptly reports any accidents; implements corrective and preventative action.



• Assures proper handling of hazardous materials. Ensures that all hazardous materials are disposed of according to proper policy guidelines.



• Enforces all safety policies. Assures that all associates of the Material Management Department understand their personal role in the event of a fire or internal/external disaster while on duty. Regularly reviews departmental fire and disaster procedures. Supports back safety program.



• Assists in preparation and revision of policies and procedures. Researches and establishes new procedures by collecting information submitting copy to Director and preparing authorized change or addition to assures policies are in agreement with actual procedures that are being utilized.



• Communicates with IM and Business Center to maintain accurate patient charges. Reviews the profile for required and items with cost, submitting appropriate paper work for changes as needed.



• Reviews, coordinates, and modifies distribution and collection system of supplies to ensure an orderly flow of work. Monitors the methods of delivery to units and makes recommendations and changes to par levels as needed.



• Assists in selection and requisitioning of supplies and equipment. Participates in supply and equipment research in an effort to provide the most suitable material; available for patient care.



• Plans a program for maintenance of the equipment. Faulty equipment is promptly reported and equipment referred to Bio-Med on schedule for preventative maintenance.



• Maintains accountability for materials. Ensures that there is accurate documentation for all materials distributed from the warehouse, monitors reports on the volume ordered and received from vendors. Inventory records are accurate.



• Assesses adherence to principles of asepsis. Inspects condition of materials, techniques of personnel and dress with concern for infection control.



• Enhances distribution while minimizing cost and reducing inventory. Strives to develop and implement strategies to enhance distribution, minimize cost of supplies utilization, and reduce inventory investment while ensuring the availability of quality supplies and equipment and the avoidance of shortages, which may hinder patient care.



• Directs monitoring of timely deliveries. Continually monitors departmental activities and makes adjustments as needed to improve services and expedite deliveries.



• Follows attendance and tardiness procedures. Accrues no unexcused absences, accrues no more than three unscheduled absences, reports to work station at designated time, and follows established call in procedures in order to maintain adequate staffing levels.



• Follows attire and appearance procedures. Follows established hospital and/or departmental procedures for dress, personal hygiene, cosmetics, hairstyles, facial hair, jewelry, leg-wear, and ID badges, recognizing that proper appearance assists in maintaining a professional image and authority.



• Follows safety precautions. Follows necessary and pertinent safety precautions during the performance of job duties, to prevent injury to self and/or others and to prevent damages to hospital equipment/property. Has no avoidable accidents or injuries during the past twelve (12) months.



• Participates in prescribed in-service programs and departmental meetings. Attends at least 80% of prescribed in-services and departmental meetings each year in order to learn new procedures and update information to more adequately perform job duties and foster greater teamwork and cooperation.



• Attends infection control and safety programs. Attends all mandated infection control and safety programs or in-services to maintain a working knowledge of appropriate precautions and actions to be initiated during the execution of duties.



• Follows hospital policies and departmental rules.



• Follows the CHRISTUS Health Guidelines related to the Health Insurance Portability and Accountability Act (HIPAA), designed to prevent or detect unauthorized disclosure of Protected Health Information (PHI).



• Associate timely completes all required educational assignments.






Requirements:



Education:



  • Associate degree preferred


Experience:



  • 2 years of leadership experience; preferably in a healthcare setting with a focus on procedural areas
  • Progressive project management accomplishments


Licenses, Registrations and Certifications:



  • Willing to take and pass the Certified Resource and Materials Professional (CMRP) certification within 12 month of accepting the position
