Job Description Summary

Under minimal supervision, performs a variety of tasks and functions pertaining to overseeing daily business activities for Development Operation. Responsible for managing resources, implementing operational plans and ensuring that procedures are carried out properly. Responsible for evaluating organizational efficiency and making changes to maximize staff productivity. Responsible for helping to coordinate, analyze, and expand the prospect management plan for each development officer. Performs a variety of tasks to assist with external facing unit of the Athletics Department at key donor driven events.

Job Description

Essential Functions:

  • Manages intern program for Athletic Development. Hires, trains, and supervises several interns per semester. Provides orientation and updates intern manual. Ensures intern program provides outstanding learning opportunity under regulatory guidelines.
  • Oversees development of department-wide student volunteer and intern program. Markets student internship opportunities, interviews candidates, coordinates with athletic units to place students in appropriate internship programs, approves internship program descriptions and applications, and assesses programs to ensure learning objectives are reached.
  • Oversees office administration for Athletic Development. Uses initiative and judgment to prioritize, plan and organize a smooth office operation for several administrators.
  • Conduct monthly review of the Prospect Plans and Steps report with the Development Officers to ensure execution on prospect plans.
  • Assist with football and basketball game day administrative duties and signature events.
  • Use Deacon Advancement Database (DAD) to effectively maintain prospect information, including all related fundraising modules to ensure individual and team goals are being met in a timely manner.
  • Proactively partner with members of the major gifts team to create individual processes to ensure timely action on items required to be documented within DAD (i.e. call reports and portfolio assignment updates), preparation for visits and events, and follow-up items.
  • Oversees agendas and action items for various Development meetings. Assists with holding staff accountable by capturing effective action items with follow up.
  • Responsible for facility management (booking space, elevators/doors)
  • Customer service – answering the Deacon Club main line (able to answer/address most/basic DAD/Pac questions)
  • Assist with inputting invoices relating to the Moricle Society, ILC, Development, and Varsity Club cost centers
  • Other duties as assigned.

Required Education, Knowledge, Skills, Abilities:

  • Bachelor’s degree plus three to five years related experience, or an equivalent combination of education and experience.
  • Knowledge of office management principles and procedures.
  • Ability to organize workflow, manage resources, and coordinate activities.
  • Skill in MS Office products (Word, Excel, PowerPoint, E-mail), and other relevant software. Ability to learn new software necessary to assist in office administration.
  • Skill in operating and maintaining peripheral office equipment such as copiers and fax machines.
  • Ability to transcribe dictation with accuracy and attention to detail.
  • Demonstrated effective communication skills, both verbally and in writing; strong interpersonal skills.
  • Ability to work collaboratively with all members of a diverse community to manage a variety of tasks and complex projects with follow through and completion in a timely manner.
  • General knowledge of budget development and fiscal management.
  • Demonstrated ability to analyze and interpret policies and procedures, budget guidelines, etc.
  • Ability to manage and maintain confidentiality of information.
  • Ability to make independent decisions, demonstrating sound judgment, and discretion.
  • Ability to research and resolve office management problems and questions.
  • Able to meet the requirements of the University's automobile insurance policy.

Preferred Education, Knowledge, Skills, Abilities:

Previous experience with all types of office procedures, reporting, & protocol preferred. Experience supervising staff preferred.
