Hybrid: This position does not require an employee to be on-site full-time to perform most effectively. The employee's role enables them to work at a GM facility or off-site as frequently as needed or desired. This position requires an employee to be onsite
1-3 times per week at the
SSM Southeast Regional Office.



The
Administrative Assistant will provide administrative support for up to five Executives and/or Senior Executives. Your responsibilities include the ability to multi-task and manage a broad scope of task assignments including schedule and calendar management, coordination of travel and events, presentation creation and records management. The position requires someone with strength in attention to detail, solid organization and reasoning, strong communication skills, the ability to handle all responsibilities in a discreet and efficient manner, and expert level use of MS Office products.




Duties and Responsibilities



  • Manage an active calendar of appointments, understand priority / urgency, and reorganize appropriately

  • Conserve managers/executives time by assuming all administrative details

  • Expedite handling of correspondence and phone calls while maintaining a high level of discretion and communicating professionally both internally and externally

  • Use Microsoft Suite (Word, Excel, PowerPoint) to prepare, modify and proofread presentation materials, spreadsheets, and communications

  • Complete various assignments as requested with minimal direction, including meeting planning, employee recognition events, and special projects

  • Maintain records, confidential files

  • Coordination of complex meetings and travel planning while maintain multiple calendars

  • Onboarding/Offboarding administrative duties

  • Continuously look for ways to improve efficiencies of day-to-day tasks

  • Support travel arrangements, Visa, Passport requirements and associated expense reports

  • Lead all aspects of office administration using independent thinking and judgment with sole discretion for office procedures

  • Handle department purchases while using self-judgment for cost saving opportunities




Qualifications:



  • High School diploma or equivalent is required

  • 1+ year of experience in an admin setting supporting multiple executives

  • Proven planning and organizational skills

  • Demonstrated analytical skills

  • Strong interpersonal skills

  • Problem solving using independent thought and decisiveness

  • Advanced level of proficiency with technology (MS Suite, scheduling, internet, Outlook, AMEX travel, etc.)

  • Demonstrated knowledge of grammar, spelling and punctuation

  • Demonstrated ability to take initiative and work independently




Preferred Qualifications:



  • Experience with Workday is highly preferred

  • 3+ years applicable work experience is preferred

  • Associate degree or bachelor's degree is preferred

  • Professional training and/or certification(s) in Administrative Skills/Support is preferred
