Position Summary: The Academic Advisor provides resource, support, mentoring and intervention services that are directed towards facilitation of students; maintains extensive knowledge of post-secondary schools, including colleges and universities; acts as a liaison among school, home and community; and performs additional duties as assigned.

The Academic Advisor has three primary job functions: 1) develop relationships with a broad range of post-secondary institutions, focusing specifically on arts-oriented programs; 2) work with students to develop their post-secondary plan and help them find the best possible fit; 3) coordinate with advisory teachers, department heads and other staff as necessary to help organize an effective post-secondary strategy for our students. This position reports to the Principal.

Responsibilities:

  • Research and recommend colleges to students and families, assist students in their college research process. o Design and push out Fall Junior college planning survey to all juniors via advisory classes (survey monkey) o Analyze each junior’s survey questions o Meet with every junior individually and present with personalized list of 20 colleges o Provide feedback as to academic strengths and areas of growth on transcript o Provide feedback as to standardized testing strategies, with the guidance of the academic counselor

  • Liaison with colleges to connect colleges and students (via admission process) o Manage College visits to ChiArts o Set up RepVisits availability and update with school calendar changes o Announce college visits and encourage students to attend Lunch visits o Coach students in talking to college reps for meaningful conversations o Read all college information sent out o Call college admissions offices as needed on students’ behalf

  • Resource for students, families, faculty and administration for all things post-secondary, including applications, financial aid, and student transition issues.

o Plan Fall College Symposium Reach out and engage speakers

Design and present on FAFSA & Standardized testing Organize Rooms with Production staff and AP Publicize to Students and Families for all 4 grade levels o Run College Application Study halls 2-3 times per week in the fall, 1-2 times per week in the spring [EVERFI, College visitors, Naviance] o Meet 1 on 1 with students during appointments o Meet with families as often as needed during admission season o Assist students with getting signed up for testing retakes in collaboration with the academic counselor o Update all transcripts and Naviance with testing information in collaboration with Registrar o Answer all questions about college from students, faculty, staff, board members and parents o Plan and Present Spring Financial Aid Award letter night Write presentation Publicize to students and families o Research and disseminate scholarship opportunities o Write personalized letters for all seniors (130-150 letters every year) o Design strategy for managing the college application process for every senior

  • Personal visits to colleges during college fly-in events o Usually gone 1-2 nights o Tour colleges, participate in networking events with other academic counselors o Meet with faculty, current college students and ChiArts Alumni where possible o Write up impressions and information for dissemination to students and families via Naviance

  • Assist with transcripts and student records with Registrar and Academic Counselor o Enters grades from other schools & programs into Powerschool/SIS o Generates transcripts for uploading into Naviance during college admissions process o Uploads graduating senior transcripts to Parchment so that they are available for purchase

  • Assist with evaluating transcripts for all incoming transfers for class placement o Supports academic counselor o Assist with creating student schedule to see if students will be able to fit into classes, with academic counselor

  • Maintain Naviance database and train faculty and students on usage o Set up all student accounts o Set up all parent accounts o Set up all faculty/staff/admin accounts o Teach student orientation to Naviance during junior year computer science (this should also happen during freshman institute) o Teach Seniors how to navigate Naviance for college application process during the first 3 weeks of school in advisory

  • Senior Check out: o Generate Checklists for students o Generate Graduation ticket for students o Administer CPS Exit Survey o Administer ChiArts Exit Survey (survey monkey) o Certify student credit requirements have been met o Certify all credit recovery has been completed

  • Assist academic counselor with the following: o Course scheduling - including master schedule o Setting up of high stakes testing, eg: PSAT, SAT, etc o Analyze statistical data, prepare reports for school leadership regarding standardized tests, college application and attendance statistics. Regularly interact with the Board of Trustees, providing reports and data.

Weekly report on College Application outcomes to School Leadership, Senior Advisers, Counselors, Arts Heads and assistants and Marketing staff Update College Bulletin Board with outcomes

  • This is a vital internal communication that inspires underclassmen, is a point on the prospective student tour and a point of pride for current seniors.

  • As standardized test data has become more integral to instruction, standardized test score analysis has moved more in the principal’s office. The PSA is involved in the discussion

Required Qualifications

Bachelor’s degree

Illinois type 73 certification

Experience in advising and counseling at-risk youth. Knowledge of school organizational structure. Excellent follow-up skills. Excellent oral and written skills. Excellent problem solving and analytical skills. Computer literate with knowledge of NAVIANCE Works in collaboration with: Academic Counselor to provide students with supports on post-secondary educational options Registrar to ensure all student records required for college application are current and available

  • An intimate understanding of the application process and a broad knowledge base of information about arts related careers and arts colleges, universities and training programs.

  • Demonstrated ability to interact with parents, students, faculty, college recruiters and artists.
