About the Role:
The Burgiss Data Operations team is looking to hire an experienced full-time Document Management Specialist to assist with document management and client request processes. Responsibilities include preparing communications to be sent to clients for the purpose of gathering financial reports and information regarding their portfolios. Additional responsibilities may include calling fund managers to gather missing information, matching data points across systems, and ensuring that system information is up to date.
Successful candidates will be professional, detail-oriented, knowledgeable in the field, and have excellent written and verbal skills. This member will play a valuable role in a team effort to actively engage clients, provide feedback, and ensure a high level of client satisfaction.
Experience and Qualifications:
- Associate degree or equivalent preferred
- 2 years of hands-on administrative/office support experience
- Experience and proficiency in using Microsoft Word, Excel, and Outlook, and other database applications (knowledge of Microsoft CRM a plus)
- Excellent communication skills, both written and verbal
- Excellent organizational and problem-solving skills
Scope and Key Responsibilities:
- Request missing information from clients, adhering to established external archiving and outreach rules and policies.
- Audit and approve client requests.
- Identify internally overlooked information prior to submitting a request.
- Assist in responding to document-related requests sent by Relationship Managers.
- Create and update tracking Excel files and other monitoring systems/databases.
- Coordinate with team to ensure adherence to service-level agreements.
- Inform appropriate internal teams when information is received.
- Retrieve, categorize, and upload documents to an in-house document management repository system, using specific classification and organization systems.
