Job Summary




GateWay Community College is now hiring a great new role! Apply today for the Program Coordinator in Healthcare and Nursing!


The position is responsible for the coordination of the Healthcare programs and projects that will require basic research, preliminary analysis, coordination and transactional support related to all the Healthcare and Nursing Divisions. The role will have basic administrative duties for the Medical Imaging and Cardiopulmonary Services Division and have an opportunity to help coordinate new degree programs coming to Healthcare.



Additional Information




This position is in person, five days a week.


The position may be eligible for remote work two days a week after 6 months, allowing employees a combination of onsite and work from home options. The expected remote work schedule for this position will be determined after the 6 months has been met.



Essential Functions




40% -Provides basic coordination and oversight of an assigned program;Solves problems in accordance with policies and procedures ;Responds to inquiries and provides basic program information to students, faculty, staff and the public;Troubleshooting to resolve issues;Assists with research, gathers information, and provides coordination of activities and administrative support of projects or programs for Healthcare and Nursing Baccalaureate Degree offerings;Communicates with internal and external resources regarding policy/procedural, event, or program information.;Receives and responds to inquiries and information requests, resolving issues or referring requests to appropriate resources.;Provides customer support of assigned systems or service area and provides technical assistance and specialized administrative office support ;Performs activities related to the area of assignment.;Updates department instructor and manager information in the appendix of annual Student Catalog and provides to the curriculum team.;Assists with development and implementation of division guidelines, forms, policies, and procedures as part of initiatives;Maintains and updates databases;Coordination and transactional support related to division operationsAdheres to applicable policies and procedures.


30%- Prepares, maintains, and coordinates schedules and calendars;Researches and makes travel arrangements;Monitors and tracks budgets, funding, and expenditures, and assists with budget preparation;Contacts vendors for purchase and delivery information;Reviews and reconciles invoices as assigned;Purchases and receives equipment and supplies for academic programs ; Works with site managers to log, monitor, and track all assets, processes, and supply requisitions; Creates documents, reports, correspondence, and/or other communication materials;Assists in the creation of vendor contracts, gathers appropriate documentation, and submits them to the proper CLM representative;Oversees the maintenance of files, records, database information and documentation related to assigned area and according to established procedures.


15% - MiCAPS Specific Administrative duties;Schedules healthcare courses in SIS as instructed by the Program Manager ;Runs quality control reports to verify accuracy;Reviews program and course accuracy;Schedules, prioritizes, coordinates, and performs administrative office support activities related to meetings, events, advisory boards, or office activities.


15%- May perform training and orientation to other staff in healthcare and nursing division;In collaboration with healthcare and nursing division chairs, coordinates the workflow of the Division’s administrative specialist seniors as assigned;Coordinates the inventory and replenishing of office supplies and office equipment maintenance services ;Performs other duties as assigned for Healthcare and Nursing.



Minimum Qualifications




Bachelor’s Degree from a regionally accredited institution in education, business, or public administration, or marketing and one (1) year of experience in researching information, gathering data, performing preliminary analysis, and preparing reports.


OR


Associate’s Degree from a regionally accredited institution in education, business, or public administration, or marketing and three (3) years of experience in researching information, gathering data, performing preliminary analysis, and preparing reports.


OR


High School Diploma or G.E.D. and three (5) years of experience in researching information, gathering data, performing preliminary analysis, and preparing reports.





Desired Qualifications




A.Two (2) or more years’ experience as office manager, project manager, secretary, office coordinator, or administrative assistant.


B. Experience working with Google Suite including Google mail, drive, calendar, chat, Meet and Google docs.


C. Experience with procurement processes


D. Previous work experience in an administrative support role in a higher education healthcare divisions


E. Experience with providing training to diverse groups of people
