General Description

The purpose of this job is to assist the Clerk of Court, Deputy Clerk of Court and judges by performing routine and complex clerical work and providing excellent customer service to the public.

Computes, classifies, records, verifies numerical data for use in maintaining accounting records and/or process child support payments for the appropriate cases, and notifies employees to withhold money from employee’s pay for child support by performing the following duties.

This class works under general supervision, independently developing work methods and sequences.

Duties and Responsibilities

The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.

  • Contacts requesting parties prior to setting hearing dates to avoid timing conflicts.
  • Prepares and mails notices of hearing to requesting parties.
  • Prepares court dockets and distributes to court personnel.
  • Prepares letters of correspondence.
  • Answers letters concerning support and status of case.
  • Provides assistance in the courtroom during special hearings.
  • Acts as a liaison between Judges Chambers and Clerk of Court’s office concerning court schedules and hearings.
  • Notarizes documents including rules to show cause petitions.
  • Answers incoming telephone calls providing guidance and assistance to callers regarding court activities.
  • Assists Rule Clerk.
  • Provides professional and courteous customer service at all times to in-house staff and general public either by telephone, electronically, or face to face.
  • Greets and assists customers and answers telephone and assists incoming caller.
  • Schedules public defender appointments for adults and juveniles.
  • Records information on the day book including divorce, name change, order of judgment, adoption, transcript of judgment and separations.
  • Prepares printouts of payment history for Family Court customers or attorneys.
  • Sends order to Family Court Judge and Administrative Judge for signature.
  • Sends court orders to attorneys upon approval of the Family Court Judge.
  • Clocks documents and assigns juvenile case docket numbers.

  • Prepares documents to be transferred to other counties/courts and maintains copy in- house.
  • Processes incoming checks or cash for filing fee of cases.
  • Performs criminal background checks by checking property for liens at RMC office for surety bonds and prepares documents for work release.
  • Reviews case orders such as domestic or juvenile to determine if it is temporary or permanent, whether or not to close the case, and whether or not to submit child support/alimony to support section.
  • Reads incoming mail and prepares outgoing mail.
  • Enters and reviews information on the computer at the customer's request.
  • Uses office equipment including printer, copier, fax machine and computer.
  • Prepares case files for Department of Social Services.
  • Verifies picture identification of plaintiff or defendant when inquiring about Family Court case.
  • Receives and send fax information as needed.
  • Provides professional and courteous customer service at all times to in-house staff and general public either by telephone, electronically, or face to face.
  • Uses computer to enter data including docket numbers, defendants’ name, plaintiffs’ name, address, date of birth, social security numbers, sex, race, driver’s license number, attorney names and addresses, status cycle, beginning payment date, types, custodial and non-custodial parent addresses.
  • Reviews all Domestic Relations and Juvenile Orders to decide to whom to distribute the documents following data entry: Data Entry Clerk, Scheduling Clerk, or Rule Clerk.
  • Ends Domestic Relations and Juvenile Orders following trial, dismissal, or other.
  • Maintains current case data by making adjustments, processing orders to redirect and inactivate cases as required by Court order, updating case files, removing records and transferring cases to other counties.
  • Enters divorce decrees on systems and assigning judgment roll number, either present to

Data Entry clerk or file. Completes form which provides the attorney of record a copy.

  • Determines whether or not to strike a case off the active docket by applying the 270 Day

Rule.

  • Interacts and communicates with other courts as needed to exchange information regarding cases. Prepares letters as needed requesting cooperation in various support cases.
  • Sets up refunds to payer.
  • Notifies Wage Clerk to modify an account or if a case is to be placed on wage withholding.
  • Notifies B/W Clerk when B/W ordered of if B/W needs to be removed.
  • Answers incoming calls and provides assistance and guidance.
  • Clocks and files documents.
  • Transmits weekly to South Carolina Court Administrator.

  • Provides professional and courteous customer service at all times to in-house staff and general public either by telephone, electronically, or face to face.
  • Answers telephone and performs similar duties.
  • Maintains confidential client case files and file in the safe.
  • Receives court orders for Family Court and Juvenile cases. Receives child support and alimony orders to be filed in client’s files.
  • Places new file cases into designated file cabinet in numerical order.
  • Pulls all Juvenile files on Thursday for scheduled court hearings the following week upon receiving Family Court dockets for the scheduled hearings.
  • Pulls client case files for Department of Social Services.
  • Receives all dockets for juvenile cases that are scheduled for court.
  • Receives client’s case files after court and files in proper location.
  • Files dockets in case files such as financial declarations, divorce decrees, separations and name changes and adoptions.
  • Assists Clerk of Court in filing civil papers, general session papers and judgment rolls when necessary Files all older files for Family Court, Common Pleas, Judgment Rolls and Juvenile files in a secured and locked location.
  • Assists customers in office and on telephone providing guidance, routing calls to appropriate personnel, department or agency, and taking messages.
  • Provides professional and courteous customer service at all times to in-house staff and general public either by telephone, electronically, or face to face.
  • Cross train to other job functions within the Court Clerk I positions.
  • Perform other duties and related work as instructed and assigned.

Supervisory Functions:

  • This job has no supervisory responsibilities.

Minimum Education and Experience Requirements:

High school diploma or general education degree (GED); and two to three years of clerical experience; and/or education in secretarial science or an Associate Degree in Business or equivalent from two-year college or technical school. Three years of office management experience preferred. Must possess typing and computer skills.
