The University of Virginia is seeking an Executive Assistant to the Associate Vice President and Chief Facilities Officer for Facilities Management. Facilities Management (FM) supports the University of Virginia's wide range of research, academic, and patient care programs. With over 1,200 employees dedicated to excellence, Facilities Management is responsible for the day-to-day operation, repair, and maintenance of UVA's buildings, infrastructure, and grounds, in addition to managing capital construction and renovation for University-owned and leased properties.

Position Summary:

The Executive Assistant anticipates the needs of the CFO and Deputy CFO, providing advanced administrative support for both routine and unique assignments. This role also assists other FM leadership - Finance, IT, Programs & Informatics - with special projects and administrative needs. The role has access to proprietary and confidential information, serving as a critical liaison for senior management within FM and across the University. This position is responsible for coordinating the review of legislation to support the Office of State Government Relations and will regularly interface with community and organizational leaders from the University Health System, City of Charlottesville, and Albemarle County, among others.

The Executive Assistant's administrative duties are advanced and diversified, requiring comprehensive experience, competencies, and knowledge of organizational practices. These functions require exceptional levels of confidentiality, discretion, and business acumen. The incumbent will perform routine administrative duties including scheduling/managing meetings, compiling reports, drafting communications, and overseeing logistics pertaining to venues, meals, and travel. Additionally, the Executive Assistant is expected to demonstrate advanced skillsets to plan, prepare, and reconcile expense accounts and budgets, and possess the organizational savvy to understand business priorities and represent the department at meetings as needed. The role requires an individual who is flexible, solution-oriented, and composed under pressure. The successful candidate embodies professionalism, and will take the initiative to expand, define, and develop the role.

Required Qualifications:

  • Bachelor's degree; Equivalent relevant experience may be considered in lieu of a degree.
  • A minimum of three years' experience in a senior support role.
  • Proficiency in Microsoft Office suite and virtual programs such as Teams, Google, Zoom, and Webex is essential.


Compensation:

The Anticipated Hiring Range for this position is $30.00 - $35.00 per hour ($62,400 - $72,800 Annually), commensurate with relevant experience, skills, and demonstrated competencies.. This is a full-time position with UVA benefits. Employee benefits package highlights include:

Physical Demands:
